How do I send guests a link to update their own details?

Give each guest a personal link that shows the details you already have and lets them correct or complete them, without creating duplicates or adding extra people.

Plan requirement: Standard or Pro plan

Short answer: Use the per-guest Update details link. It opens a form pre-filled with that guest's household, lets them fix names, phone numbers, and addresses, and saves the changes straight back onto your existing records. Turn off Add another guest in your Collect details settings so guests can't add plus-ones.

The Update details link vs. the Collect details link

These are two different links, and the difference matters:

  • The Collect details link is one open link you share with anyone. It always starts from a blank form, and each submission creates a new guest record. This is for gathering details from people you don't have yet.

  • The Update details link is a personal link for each guest you've already added. It opens pre-filled with that guest's information and their whole household, and saving updates those existing records in place. This is the link to use when you've already imported and organized your guests and just want them to review and correct what you have.

If you've already built your guest list and households, the Update details link is almost always the one you want.

What the Update details link does

When a guest opens their personal Update details link, they see a form that already contains:

  • Their own name, email, and phone number

  • The other members of their household, with the names and phone numbers you already entered

  • The household's mailing address

They can correct anything that's wrong and fill in anything that's missing. When they save:

  • Your existing guest and household records are updated in place.

  • No duplicate records are created, and nothing is moved out of the households you set up.

  • You don't have to re-sort or re-organize anything afterwards.

This is a details-only form. It does not record an RSVP, and it's completely separate from your RSVP form.

Finding each guest's Update details link

  1. First, turn the form on: go to Guests > Collect details, open Form settings, and toggle on Enable collection form. (The personal Update details links only work while the form is enabled.)

  2. Choose which fields to collect (email, phone, address) under Details to collect.

  3. Turn off "Add another guest" (see below) so guests can't add people.

  4. Go to your guest list and open Guest settings.

  5. Under Unique links, turn on the Update details column.

  6. Each guest row now shows that guest's personal Update details link, ready to copy and send.

You can also open an individual guest and copy their Update details link from the guest sidebar.

Preventing guests from adding extra people or plus-ones

By default, after a guest saves their details they see an "add another guest" link. If you've already accounted for everyone and don't want guests adding plus-ones, turn this off:

  1. Go to Guests > Collect details > Form settings.

  2. Find Add another guest ("Display a link to add another guest after guest details have been submitted").

  3. Toggle it off and save.

With this off, there's no way for a guest to add anyone. The Update details form itself only lets them edit the household you've already built — it has no "add person" or plus-one field at all.

Note: "Add another guest" is on by default, so this is the one setting you'll want to change if you're sending Update details links to a finalized list.

Sending one link per household

The link is tied to each individual guest, but opening any household member's link shows the whole household. So to review a household, just send the link to one person in it — for example the first adult — and they can check and update everyone. After a CSV import, the easiest way to do this is to send one email per household and include each guest's personal link.

Tips

  • Enable the form first, or the personal links will show a "closed" message.

  • Turn off Add another guest before you send the links if your list is final.

  • Send to one person per household to review the whole household at once.

  • Changes save onto your existing records, so there's nothing to merge or re-sort afterwards.
