Composing an RSVP reminder email

Learn how to create and send a friendly RSVP reminder to guests who haven't responded yet (Standard or Pro plan).

The RSVP reminder template is a gentle nudge for guests who haven't RSVP'd. It comes pre-written with your RSVP deadline and a direct link to the RSVP form.

Plan requirement: Standard or Pro plan

When to use an RSVP reminder

Send an RSVP reminder when:

  • Your deadline is approaching - Send 1 to 2 weeks before the RSVP deadline

  • Guests haven't responded - Target only unconfirmed guests

  • You need final numbers - Caterers and venues need headcounts

It's completely normal for guests to need a reminder. Life gets busy and wedding emails sometimes slip through the cracks.

Default content

When you create an RSVP reminder draft, it starts with:

  • Subject: "Friendly reminder to RSVP"

  • Message: > Hi there, > > [Your couple names]'s RSVP deadline is approaching. We would love to know if you can make it :) > > Please RSVP by [deadline].

  • Button text: "RSVP here" (links to your RSVP form)

The couple names and deadline are pulled from your settings automatically.

How to create an RSVP reminder

  1. Go to Sending in your main navigation

  2. Click to create a new draft

  3. Select RSVP reminder as the template

  4. Customize the subject and message

  5. Select your recipients (filter for unconfirmed guests)

  6. Preview and send

Selecting the right recipients

The key to a good reminder is sending it only to guests who haven't responded:

  1. When selecting recipients, use the filters

  2. Filter by RSVP status to show only Unconfirmed guests

  3. This avoids sending reminders to guests who have already RSVP'd

You can also filter by list (A-list/B-list) or event if needed.

Tips

Keep the tone friendly. The default template strikes the right balance. Avoid making guests feel guilty for not responding yet.

Send one reminder, maybe two. One well-timed reminder is usually enough. If you need to send a second, wait at least a week and keep it light.

Filter your recipients carefully. Only send to guests who actually need the reminder. Sending to someone who already RSVP'd feels careless.

Personalize it. Replace "Hi there" with "Hi [firstname]" to make the reminder feel like a personal message rather than a mass email.

Time it right. About 1 to 2 weeks before your deadline is the sweet spot. Too early and guests think they still have time. Too late and it feels rushed.
