Composing a collect details email
Learn how to create and send an email that asks guests to fill out a details form with their contact information (Standard or Pro plan).
The collect details template asks guests to submit their information through a form. Use it to gather email addresses, phone numbers, dietary requirements, and other details you need for planning.

When to use a collect details email
Send a collect details email when:
You need contact information - Gather email addresses or phone numbers from guests
Early in the planning process - Before sending formal invitations
You're missing guest details - Fill in gaps in your guest list
This is especially useful if you've added guests but don't have their full contact information yet. The details form lets guests enter their own information.
Default content
When you create a collect details draft, it starts with:
Subject: "We need your contact info!"
Message: > Hi there, > > We're getting married on [date] in [city]. Please fill out the form below so we can send you more details about our wedding.
Button text: "Submit my details" (links to the collect details form)
The date and city are pulled from your wedding settings.
How to create a collect details email
Go to Sending in your main navigation
Click to create a new draft
Select Collect details as the template
Customize the subject and message
Select your recipients
Preview and send
What guests see
When guests click the button, they're taken to a form where they can enter their details. The fields available depend on what you've configured in your collect details settings under Guests > Collect details.
Tips
Set up your collect details form first. Make sure you've configured which fields to collect before sending this email. Go to Guests > Collect details to set up the form.
Send early. This is often one of the first emails you send since you need contact details before sending save the dates or invitations.
Explain why you need the info. Guests are more likely to fill out a form if they understand why. "So we can send you save the dates and invitations" is a good reason.
Keep the subject line warm. The default "We need your contact info!" works, but you could soften it to something like "Help us stay in touch!" or "We'd love your details."
Follow up if needed. If guests haven't filled out the form, a gentle reminder works just like an RSVP reminder.
